Front Office Administrative Assistant
We are looking for an outstanding Front Office Administrative Assistant to perform a variety of administrative and clerical tasks for a publishing company that also has a marketing division. Duties of this position include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Responsibilities include preparing reports, maintaining appropriate filing systems, preparing mailings and maintaining a subscriber and other databases. This is a fast paced office with a high degree of public interaction. The ideal candidate should be very detail oriented, have excellent oral and written communication skills, excellent people skills and be able to organize their work using tools, like MS Excel and other office equipment. If you have previous experience as an Office Manager or Executive Administrative Assistant and familiarity within our industry – news, media and advertising – we’d like to meet you. Ultimately, a successful Front Office Administrative Assistant will ensure the efficient and smooth day-to-day operation of our fun and fast-pace office.
Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Write and distribute email, correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Order office supplies
- Maintain contact lists
- Maintains and grows circulation for core publications
- Maintains subscriber database and calls subscribers
- Answers questions for team members and the general public
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Works on periodical and bulk mailings
- Provide guidance to distribution division
- Other administrative duties as assigned
Skills
- Proven experience as an office manager or executive administrative assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and phone systems.
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills (see requirement below)
- Strong organizational skills with the ability to multi-task
- High School or College degree; additional qualification as an Administrative Assistant or Secretary will be a plus
